LS Rag Annual General Meeting

The LS Rag Annual General Meeting (AGM) will be held on the 23rd March at 7pm in the Union Council Chamber.

The agenda is as follows,

  1. Rag Constitutional Changes
  2. Committee Elections
  3. Hall Annual Reports

Rag Constitutional Changes

Rag committee will propose amendments to the Rag constitution. During this process any major changes to the constitution and shifts in policy will be explained allowing for questions from the floor. The amended version of the Rag Constitution will then require a majority vote from its members to be passed. This will then be ratified at Union Council.

Eligible voting members are any member of Loughborough Students Union that has held the position of Rag Rep during the current academic year.

The amended Rag Constitution will be made available prior to the AGM.

Committee Elections

Committee Elections will be held in accordance with Standing Order D of LSU constitution.

The positions of Rag Committee will be filled in constitutional order. Each candidate will require a proposer and seconder who is a member of LS Rag, excluding members currently holding a position on Rag Committee. Each candidate will then be given 2 minutes to present their manifesto before facing 2 questions from the outgoing position holder. Candidates will then take questions from the floor. Questions must be open to all candidates. Voting via secret ballot and results will take place immediately allowing candidates to run for other committee positions.

The below descriptions of jobs are taken as an extract from the yet proposed Rag Constitution and are therefore open to change. It is also noted that Webmaster and Media Coordinator are interviewed positions as stated but the current Constitution. Details on applying to these positions are detailed later in this article.

Vice Chair

Sits below the Rag Chair as the main aide on committee. The Vice Chair is a member of the Rag Finance Committee, and will deputise for the Chair should the need arise. Main responsibilities include:
  1. Welfare of Hall Reps
  2. Branded merchandise and other forms of stash.
  3. Coordinate social occasions for rag volunteers with the Events Coordinators and the Rag Chair.
  4. Maintain handover documents for the following academic year.
  5. Research and develop new projects and ventures to see the expansion of Rag as an organisation. After the first year of a project, responsibility will hand-over to the appropriate member of committee.

Secretary

responsibilities include:
  1. Taking minutes and creating agendas for all Rag meetings.
  2. Ensuring Rag works in accordance with the constitution.
  3. Assisting the Chair with Press releases in conjunction with Marketing and Recruitment.
  4. Arrange for the minutes of Rag Council and Rag Committee to be sent to the Vice President: Democracy and Communications for ratification by Union Council.
  5. Maintaining the archive with the Rag Administrator.

Treasurer

sits of Rag Finance Committee, and acts as a signatory on the Rag Account. Responsibilities include:
  1. Attendance and completion of actions of Rag Finance Committee.
  2. Co-signature and scrutiny of all financial transactions within Rag
  3. Assistance with money counting where possible.
  4. Ensuring Star Fundraiser database and hall totals are up to date and made available to reps.
  5. Produce a budget with the Rag Chair to be passed at the first council of term.
  6. Produce mini-budgets prior to each Event.

Events Co-ordinator(2 Positions)

responsibilities include:
  1. Consultation with committee, particularly Logistics and Media Coordinators, to ascertain and specific requirements before planning of an event begins.
  2. Setting a date for the event, after this consultation, which should then be swiftly communicated to Marketing and Recruitment Officer.
  3. Organisation of all aspects of the Event, from set up to take down. This includes where, when, and how (infrastructure, routes and operational teams as required).
  4. Liaison with the Chair regarding progress and difficulty.
  5. Liaison with the Logistics Coordinator to arrange for the purchase of additional resources needed for the event.
  6. Briefing Rag Committee upon completion of the planning stage, and following agreement from Rag Committee, briefing Rag Council.
  7. Delegation of tasks during the event to maintain an overall view of the event and ensure it’s smooth running.

Raids Officer

responsibilities include:
  1. Liaison with charities, maintaining contact with their representatives and keeping up to date with their raids calendars to be aware of those available.
  2. Selection and booking of raids regularly across the academic year, working with the Chair to plan the dates.
  3. Preparation of collection materials for raids including buckets/tins, wraps, lids, seals, permits, and other charity materials such as stickers and t-shirts.
  4. Compilation of information on charities being collected for, and areas being collected in, to distribute to volunteers.
  5. Securing accommodation and transport for raids where required.
  6. Book annual tours during the holiday periods as appropriate.

Logistics Co-ordinator

responsibilities include:
  1. Acquisition, storage, maintenance and transport of all equipment required for any rag event.
  2. Liaison with Rag Administrator to arrange the safe storage of financial and legal documents.
  3. Liaison with Maintenance staff to ensure safe storage of gas bottles and similar hazardous materials.
  4. Keeping the Rag Store organised.

Marketing and Recruitment Officer

responsibilities include:
  1. Promotion of all Rag events to all students, particularly targeting under-represented audiences including community students, societies and international students.
  2. Major recruitment drives, such as Choose a Challenge.
  3. Acting as the main point of contact for externally run events.
  4. Procurement of a title sponsor, as well as individual event sponsors.
  5. Press releases, including, but not limited to, the creation of the bi-weekly, term-time, newsletter.

Webmaster

responsibilities include:
  1. Administration and maintenance of Rag internal email system (for committee and reps), providing technical assistance as required.
  2. Maintenance of the bi-weekly, term-time, external newsletter. This involves the consolidation of news from Committee and the distribution. Creation should be done in conjunction with the Marketing and Recruitment Officer.
  3. Creation, maintenance and development of both content and functionality of all rag websites, currently lufbra.net/rag and lsrag.co.uk, to cater for all online audiences both internal and external to the union. This includes the accuracy of any information.
  4. Liaison with the Marketing and Recruitment Officer to fully utilise social media for the promotion of all rag events and activities to internal and external partners.

Media Co-ordinator

responsibilities include:
  1. Maintaining close links with LSU media and other external media outlets.
  2. Liaison with the Multi-Media Editor to utilise LSUTV, Label and LCR to the fullest extent, and ensure rag events are given adequate media coverage, with an appropriate output e.g. video or photos, where required.
  3. Contribution of material for press releases and posters.
  4. Sourcing and formatting material for recruitment and promotion drives e.g. choose a challenge.

Alumni Officer (2 Positions)*

is a non-voting member of Rag Committee, who is not expected to attend meetings, but will be invited at the discretion of the chair. Similarly they are not expected to attend rag events, but are always welcome to support either in person, or with advice and encouragement. Responsibilities include:
  1. Maintaining good communication links with as many rag alumni as possible through all communication channels, i.e. social media, with particular efforts directed to previous rag committee members. It is also expected that the Alumni Officer will maintain communication with the Alumni Representative of the Union.
  2. Organising, in conjunction with the Rag Chair, for these alumni to take part in rag, both events and raids, where possible.

Other Commitments

Rag committee are also bound to perform the below generic commitments.

  1. To promote the work of Rag generally.
  2. To organise central Rag events.
  3. To assist and encourage Rag Reps in Halls and elsewhere.
  4. To support each other in Rag endeavours, including, but not limited to, attendance at all Rag Events, Rag Committee Meetings and Rag Council Meetings.

The interview process for Webmaster and Media Coordinator is performed by a panel consisting of Rag chair, Rag chair elect and one committee member. If you are interested in these positions please contact the current position holder via email, webmaster@lsrag.co.uk and media@lsrag.co.uk .

The appointment of Webmaster and Media Coordinator will be ratified where possible at the AGM or the soonest possible Rag council.

Hall Annual Reports

All reports will be filed at the end of the AGM. These are required for each hall and will be the combined work of the hall's rag reps from the academic year.
